Instant invoices

For billing that doesn't need the full proposal-and-acceptance workflow first.

What an Instant Invoice is

A standalone invoice you create directly, without a client accepting a proposal first. It's built the same way a regular invoice is — events, photobooks, additional products/charges, and a pricing summary — just without the proposal step before it. Instant invoices have their own numbering series (e.g. "Instant Invoice #INS01"), separate from your regular proposal-based invoices.

When to use one

Reach for an Instant Invoice when there's no real negotiation to send a proposal for — a walk-in client, an extra add-on charge for an existing job, or a booking agreed verbally that just needs an invoice on the spot.

Creating one

Go to Invoices → Instant tab, then Add Instant Invoice. Add events (with team/add-ons, auto-priced from your rate card or set manually), photobooks, and any additional products or charges, exactly like a regular proposal.

Recording payments

Use Record payment the same way as a regular invoice — amount, date, method, notes — with Paid and Balance due tracked automatically.

How it's different from a regular invoice

  • No proposal step — it's created and billed directly
  • No installment payment-schedule feature — payments are recorded one at a time as they come in
  • Its events don't appear on your Booking Calendar — only proposal events do

Bill a client in minutes, no proposal needed
