Creating and sending proposals

A proposal is the wedding quotation you send a client — once it's accepted, it becomes their invoice automatically.

Start a new proposal

Go to Proposals → New Proposal. Pick an existing client or add a new one on the spot, then start adding events.

Add events

Each event is one day/function of the wedding (e.g. Mehndi, Sangeet, Wedding Day, Reception). For each event, set:

  • The event name and date (and time of day, if you use it — Morning / Afternoon / Evening / Full day)
  • Your team for that event — how many Candid and Traditional photographers and videographers
  • Any add-ons: Drone, LED Screen, Live Streaming

Pricing calculates itself automatically from your rate card based on team size and add-ons. You can switch any line to Enter Manually if a specific event needs a one-off price.

Add photobooks and other charges

If the package includes photobooks, add them with a sheet count — priced automatically per sheet from your rate card, or set manually. Use Additional products / charges for anything else — travel, accommodation, editing, a specific add-on that isn't one of the built-in types.

Attach a gallery (optional)

If you've built a portfolio gallery, you can attach it to the proposal so the client sees sample work alongside the quote.

Cover note and terms

The cover note and terms & conditions pre-fill from your studio defaults (set in Branding) — edit them per-proposal if this client needs something different, without changing your saved defaults.

Download and send

Download the proposal as a branded PDF and send it to your client however you normally do. You can re-download it anytime — it always reflects the latest saved version.

When the client accepts

Mark the proposal Accepted once the client confirms. This automatically turns it into an invoice you can record payments against (see Invoices and recording payments), and its events immediately show up on your Booking Calendar.

Tip: you can clone any existing proposal to reuse its structure and pricing for a new client — just update the client details and dates instead of starting from scratch.
