Freelancers and their payments

Keep a directory of everyone you hire, and a running ledger of what you owe and what's been paid.

Adding a freelancer

Go to Freelancer Payments → Add Freelancer and fill in their name, role (free text — e.g. "Second Shooter", "Video Editor"), phone, email, a default rate, and any notes.

Recording a payment

Payments are deliberately tied to a specific accepted proposal and event — not a general, unlinked payment log. On a freelancer's page, click Add payment and pick:

  1. The Client / Quote — only accepted proposals appear here; a payment can't be linked to one that hasn't been accepted yet
  2. The specific Event on that proposal
  3. The Type of work — Candid/Traditional Photographer, Candid/Traditional Videographer, Drone, LED Screen, Live Streaming, or Other
  4. The agreed Price for that booking and the Amount paid so far, plus an optional payment mode and date

Status — Pending, Partially Paid, or Paid — is calculated automatically from price vs. amount paid, so you never set it by hand.

The payment ledger

Each freelancer's page shows a full Payment ledger of every booking they've worked, with running totals for Total agreed, Total paid, and Total pending — so you can see exactly what you still owe someone at a glance.

Archiving a freelancer

No longer working with someone? Archive them — their full payment history stays intact and visible (read-only), and you can Restore them anytime if you work together again.

Never lose track of what you owe a freelancer
